What you need for a sponsor swim
A sponsor swim needs more than swim caps and a marked route. You will need equipment for registration, water safety, timing, sponsor visibility and keeping participants comfortable before and after the swim. Plan quantities from the number of swimmers, supervisors and volunteers, then add a small reserve for damaged or missing items. Check power, weather protection and route signage early; these are easy to arrange too late.

Tips
- Set aside one bib number and one wristband per participant, plus at least 5β10% extras for replacements and late registrations. Keep the registration desk supplied with the updated participant list and any dietary information.
- Use one swim cap per swimmer and prepare towels for people who finish cold or wet. Place coolers near the finish area and use thermos flasks if hot drinks must remain available throughout the event.
- Mark the route with floating lines and route signs, then add cones and directional signs at every decision point. Life rings and rescue lines should be positioned where supervisors can reach them immediately, not stored at the registration desk.
- Allow one stopwatch for each person responsible for timing, with at least one spare if results depend on manual timing. Keep the scoreboard, bib numbers and timing materials together so finishers can be recorded without delays.
- Bring extension cords, power strips and power banks for the sound system, microphones and registration equipment. If the event continues into low light, prepare LED lamps before adding string lights or other decoration.
Frequently asked questions
- How many swim caps and bib numbers do I need for a sponsor swim?
- Prepare one swim cap and one bib number per registered participant. Add 5β10% extra, so 100 swimmers means preparing 105β110 of each item.
- How much safety equipment is needed for a sponsor swim?
- The required amount depends on the route, water conditions and safety plan, so confirm it with the appointed supervisors before buying. Have life rings, rescue lines and floating lines ready at the designated supervision points, not in one central pile.
- What should I buy for sponsor swim registration?
- Set up a registration desk with the participant list, bib numbers, wristbands and pens or other writing supplies. Prepare the desk at least 60 minutes before the stated start time so late arrivals do not delay the briefing.
- How many signs are needed along a swimming route?
- Place a route or directional sign at every turn, crossing and unclear section, and add one at the start and finish. Walk the route at least 24 hours beforehand and add signs wherever a first-time participant could hesitate.
