Tips

  • Plan one bib number and one bib holder per entrant, plus at least 5% spare numbers for late changes, damaged prints or registration errors. Keep the participant list beside the packs so replacements can be issued quickly.
  • For each water station, prepare roughly 2–3 cups per runner expected to pass through and enough water for 0.25–0.5 litres per participant, then add 10% extra. Use coolers and water jerry cans so supplies can be split across the route.
  • Mark every kilometre and place route arrows before volunteers arrive. Add spare arrows and traffic cones at turns, crossings and narrow sections; these are often forgotten when the route is checked on paper rather than walked.
  • Give every traffic controller and volunteer a visible vest, and provide one whistle for each person managing a crossing or checkpoint. Pack mobile chargers, extension cords and power strips separately so timing and sound equipment can be tested before the start.
  • Keep medals, ribbons, prizes and cups at the finish rather than in the registration area. Count medals against the latest participant list and add at least 5% spare stock; also reserve blankets and a covered tent for runners waiting after the finish.
