What to Buy for a Running Race

A running race needs more than a start line and a finish banner. You need supplies for registration, course marking, timing, hydration, communication and the finish area. This shopping list covers the practical items that are easy to overlook, from spare printer paper and power banks to enough cups and coolers for the first hour. Check quantities against your runner count, volunteer team and course length before placing orders.

Tips

  • Order bib numbers, race bib straps and commemorative medals as soon as registration numbers are stable; allow at least 2–3 weeks for printing or delivery. Keep 5–10% extra bibs and straps for late entries or replacements.
  • Plan water by runner count rather than by guesswork. For a warm race, prepare roughly 2–3 cups per runner per drink station, then add extra cups for volunteers and runners who take more than one.
  • Prepare course markers in advance and bring at least 10% more cones, route arrows and barrier tape than your map requires. Mark every turn and kilometer point before runners arrive, not during registration.
  • Bring two independent ways to keep time, such as stopwatches and a timing clock, and charge every power bank, laptop and phone the night before. Pack extension cords, power strips and printer paper with the electronics.
  • Pack the start and finish area separately from the course supplies. Keep medals, bibs, water cups, whistles and the microphone together so volunteers can find them quickly during the busiest 30 minutes.

Frequently asked questions

How many water cups do I need for a running race?
Start with 2–3 cups per runner per drink station, then add 10–20% for volunteers, spills and runners taking a second cup. For 100 runners at one station, that means at least 220–360 cups.
How many spare race bibs should I buy?
Buy 5–10% more bibs and race bib straps than your expected number of runners. For 200 participants, prepare approximately 210–220 sets, especially if on-the-day registration is possible.
When should I order running medals and printed bib numbers?
Place the order at least 2–3 weeks before race day, or earlier if the supplier needs approval of names or numbers. Keep a small spare quantity for damaged items and late registrations.
What equipment should I charge before race day?
Charge power banks, phones, laptops, speakers and timing equipment the evening before, then test them again 2–3 hours before the start. Pack extension cords and power strips even if the venue has nearby outlets.
