Running race shopping list
A running race needs more than bib numbers and medals. You also need a clear way to mark the route, keep runners hydrated, control traffic and manage the start and finish areas. Tips
- Plan at least 2 disposable cups per runner per drink station, plus 10% extra for spills and late arrivals. Put water jugs, coolers and drink tables at every planned station rather than relying on one central supply.
- Prepare one bib number and one start number band for every registered runner, then add 5% spare numbers for replacements, damaged prints and same-day corrections.
- Use route arrows and kilometre markers at every turn and decision point. Pack extra barrier tape, traffic cones and signs so volunteers can reinforce markings if weather or crowds move them.
- Give each timing or course-control volunteer a charged mobile phone and a power bank. Keep at least one spare stopwatch and megaphone available if the primary device fails.
- Allow enough space and seating at the finish area for medal distribution and recovery. Keep finish medals, competition ribbons, chairs and waste bins together in clearly labelled crates before setup begins.

- A practical starting point is 2 cups per runner at each water station, plus 10% extra. For 100 runners and two stations, prepare at least 440 cups, then increase the drink supply for hot weather or a longer course.
- How many spare bib numbers should I order?
- Order one bib number per registered runner and add about 5% spare numbers. For 200 runners, that means at least 210 bib numbers, with matching start number bands for the expected field.
- What should I buy to mark a running race route?
- Use route arrows, kilometre markers, start zone signs, traffic cones, traffic barriers and barrier tape. Place the first full route check no later than 1 week before race day, then inspect every marker again on the morning of the race.
- When should I prepare medals and race supplies?
- Count medals, bibs, bands, signs and drink equipment at least 3 days before the race. Pack them into labelled crates the day before so volunteers can place each item without opening every box during setup.
