Running race shopping list
A running race needs more than bib numbers and medals. You will need supplies for registration, course marking, water stations, timing, communications and the finish area, plus backup power and basic safety equipment. Buy or collect these items early enough to check quantities against your final participant list. The checklist below covers the practical equipment used from setup through cleanup, including items that are easy to overlook until race morning.

Tips
- Plan one bib number, one safety pin set and one medal per registered runner, then keep a small reserve for replacements and late corrections. Sort bibs alphabetically before race day so registration moves quickly.
- For each water station, prepare cups, a table and enough replenishment for the expected field. Set up the station equipment before runners arrive; sourcing cups or tables on the morning itself is difficult.
- Mark the course with route arrows, kilometre markers, cones and barrier tape, and pack spares. A few missing signs can send runners the wrong way, especially at turns where volunteers are handling traffic.
- Test the timing system, laptop, tablets, phones, stopwatches and power supplies together at least one day before the race. Charge power banks and confirm that extension cords and power strips reach the timing and finish areas.
- Put emergency blankets, a megaphone, walkie-talkies and whistles where medical and course volunteers can reach them immediately. Do not leave safety equipment locked in the registration area after the first runners have started.
Frequently asked questions
- How many race bibs and medals do I need for a running race?
- Prepare one bib number and one finish medal per registered runner. Order or pack a small reserve, such as 2β5% extra, for damaged bibs, replacements and late registration changes.
- How many cups do I need for a race water station?
- Estimate at least one cup per runner at each water station, then add 20β30% for spills, volunteers and runners taking more than one cup. Multiply that amount by the number of stations rather than buying for only the busiest point.
- When should I buy running race supplies?
- Order bib numbers, medals, timing equipment and rented infrastructure several weeks before race day. Buy consumables such as cups and safety pins after registration closes, usually 7β10 days before the event, so the quantities match the final field.
- What should I pack for race-day communication and power?
- Pack charged walkie-talkies, mobile phones, a megaphone, extension cords, power strips and power banks. Test every device at least 24 hours beforehand and bring one backup charging option for the timing and finish areas.
