Running race checklist: what to arrange and when

A running race needs more than a marked route and a finish line. You need a clear sequence for registration, permits, volunteer posts, timing, participant emails, water, medical contacts and the race-day setup. Start with the route and competition information, then work toward bib numbers, starter packs and equipment checks. Use this checklist to keep late tasks—such as weather checks, shopping and tent setup—from causing problems on race day.

Tips

  • Confirm the route and permit paperwork before opening registration. Once participants can sign up, you need a stable course, clear start and finish details, and a realistic plan for traffic posts.
  • Close or review registrations early enough to check the participant list, dietary requirements and start-number assignments. Printing bib numbers at the last minute leaves no time to correct duplicate or missing entries.
  • Test timing equipment, stopwatches, the sound system and all communication devices before volunteers arrive. Charge mobile phones and power banks, and give each key post a reliable contact method.
  • Prepare starter packs, route maps, volunteer instructions, medals and prizes before race morning. Sort them by function or participant group so distribution does not depend on one person finding everything.
  • Check the weather forecast close to the event and inspect the venue before setup. Allow time to build party tents, position tables and signs, fill coolers, mark the route and clear unused materials from participant areas.

Frequently asked questions

How far in advance should I open registration for a running race?
Open registration only after the route, competition information and permit documents are sufficiently settled. For a small race, 4 to 8 weeks gives you time to process entries, assign bib numbers, send participant emails and order or collect materials.
When should I send running race participant information?
Send the main participant email at least 7 days before the race, including arrival, parking, route and start details. Send a short final reminder 24 to 48 hours before the event with weather-related instructions and any last changes.
How much water do I need for a running race?
Plan water by participant count, course length and weather rather than buying one fixed amount. As a starting point, allow at least 500 ml per runner at the finish, plus additional supplies for course stations, volunteers and hot conditions.
When should I test the timing equipment for a race?
Test timing equipment once during the week before the race and again during setup on race day. Leave at least 60 minutes before the start for a second check of stopwatches, power, bib-number handling and result recording.
