  • Close registration details several days before the retreat. Use the final participant list to confirm dietary requirements, print materials and estimate plates, mugs, glasses and meal portions.
  • Prepare the meditation room separately from the main meeting space. Arrange cushions, check the lighting, and keep the changing-room screen available if privacy is needed.
  • Test the portable speakers and microphone before participants arrive, with the actual extension cords and power strips you plan to use. A sound check in an empty room takes only 10–15 minutes.
  • Set up the reception desk before the first arrival. Put the participant list, schedules, notebooks and other materials in one place so each person can be checked in and given everything at once.
  • Finish food preparation in stages on the day itself: chill refrigerated items early, prepare coffee and tea shortly before arrival, and keep serving platters, spoons and coolers ready near the meal area.
