Tips

Plan one seat, cup, plate and cutlery set per registered participant, plus 10% extra. The spare set covers unexpected residents and items that become unusable during the inspection.
Prepare enough coffee and tea for the full gathering, not just the start. As a working estimate, allow 2–3 drinks per person in the first hour and keep hot water in thermos flasks.
Print one route map and one observation form per participant, with 10% extra copies. Pack them on clipboards and bring spare pens; missing forms are difficult to replace once the group is on the route.
Give every participant a name badge and badge holder before departure. Put markers and notepads at the information table so people can correct details or add observations without borrowing a clipboard.
Charge laptops, tablets, mobile phones and portable chargers the day before. Bring at least one power bank for every 5–10 people using mobile devices, especially if the route includes several inspection stops.
