- Set the date and reserve the room before promoting the meeting. Allow enough time for the program, speaker availability and the registration period, rather than trying to fit these around an already advertised time.
- Give registration a clear closing point and process responses in batches. Confirm each registration, record dietary requirements and send a reminder before the meeting so you have a reliable attendance estimate for catering and seating.
- Collect presentation files and test the laptop, projector, screen, microphone, speakers, extension cords and power strips before guests arrive. Do not rely on a last-minute equipment check; allow time to replace a missing cable or change the room layout.
