A practical Ramadan iftar checklist

Planning an iftar means working backwards from sunset, not just preparing a meal. Confirm the date and iftar time first, then organise registrations, dietary requirements, catering quantities, prayer space and children’s areas. Food preparation needs a clear split between the days before and the final hours: shop for shelf-stable items early, buy fresh ingredients close to the event, and leave time to chill drinks and finish hot dishes. Use this checklist to keep the meal, welcome table and prayer arrangements moving together.

Tips

  • Confirm the iftar time and venue at least 2–3 weeks ahead, then set the invitation deadline early enough to calculate portions and seating from actual registrations.
  • Ask every guest for dietary requirements when they register, not on the day. Keep the final list with the catering plan and label dishes clearly before guests arrive.
  • Buy non-perishable ingredients several days before the event, but collect meat, chicken and fresh groceries no more than 1–2 days ahead so preparation stays manageable.
  • Finish soup, rice, side dishes, salads, desserts and marinated meat in a timed order. Leave at least 60 minutes before iftar for setting out serving dishes, warming food and filling coolers.
  • Set up the prayer room, tables, chairs and children’s area before the final food preparation begins. Check extension cords, power strips, coffee equipment and warmers while there is still daylight.

Frequently asked questions

How far in advance should I plan an iftar dinner?
Reserve the venue and confirm the date and iftar time about 2–3 weeks in advance. Send invitations soon after, then close registrations several days before the meal so you can calculate food, seating and tableware accurately.
How much food should I prepare for an iftar?
Base quantities on confirmed registrations rather than invitations, and add around 10% extra portions for late changes or second servings. Plan separate quantities for soup, the main meal, side dishes and desserts so one dish does not carry the whole meal.
When should I buy groceries for an iftar?
Buy non-perishable items 3–7 days ahead. Purchase fresh vegetables, meat and chicken 1–2 days before the event, then prepare salads and other fresh dishes as close to serving time as your kitchen schedule allows.
When should the prayer room and tables be ready for iftar?
Have the prayer room, seating and table layout finished at least 60–90 minutes before iftar. This leaves time to check tableware, arrange menu signs, fill coolers and place hot food in warmers without rushing the final preparations.
