Project kick-off checklist

A project kick-off needs more than a meeting invite and a presentation. You need a confirmed room, a working schedule, clear speaker roles, participant information, catering details, and equipment tested before people arrive. This checklist takes you from the first booking to check-in and room setup. Use it to keep registrations, dietary requirements, name badges, refreshments, and the presentation area on track without leaving key details until the last minute.

Tips

  • Confirm the date and room before sending invitations, then allow at least 7 days for registrations and dietary requirements to come in. Keep one current participant list for check-in and name badges.
  • Set the program before preparing the presentation. Include arrival, introductions, activities, breaks, and closing time so speakers and guides know exactly when they are needed.
  • Test the laptop, projector, screen, HDMI cable, presentation remote, microphone, and speakers at least 60 minutes before the kick-off. Bring extension cords and power strips because room layouts rarely match the nearest outlet.
  • Plan the reception desk as a separate setup area with the participant list and name badges ready before doors open. Allow 10–15 minutes for check-in, especially if several people arrive at once.
  • Schedule catering and room setup with a clear deadline on the day. Chill drinks, prepare coffee and tea, place snacks and serving items, and finish tables, chairs, and the presentation area at least 30 minutes before the start.

Frequently asked questions

How far in advance should I organize a project kick-off?
Start planning at least 3–4 weeks ahead. Confirm the date, location, speakers, catering, and equipment first, then send invitations early enough to collect registrations and dietary requirements.
What should be ready the day before a project kick-off?
Finish the program, presentation, participant list, name badges, catering order, and speaker confirmations. Check that all presentation files open correctly and pack the laptop, cables, remote, microphone, and backup power equipment.
How early should I arrive for a project kick-off?
Arrive at least 90 minutes before the start if you need to arrange tables, chairs, reception, catering, and presentation equipment. Complete the technical test at least 60 minutes before attendees arrive.
How many drinks and snacks do I need for a project kick-off?
For a two-hour kick-off, plan roughly 2 drinks per person for the first hour and 1 more for each additional hour. Provide about 2–3 snack portions per person, adjusted for the number and length of breaks.
