Presentation training checklist
A presentation training session needs more than a room and a slide deck. You need time to collect practice presentations, prepare handouts, test every file and arrange the room for both instruction and rehearsal. This checklist covers the work from booking the training date through welcoming participants. Tips
- Set the date and reserve the training room before sending invitations. Allow enough lead time to collect registrations, dietary requirements and practice presentations before materials are printed.
- Ask participants for their presentation files several days before the session, not at the door. Test each file on the training laptop and projector, including fonts, videos, sound and aspect ratio.
- Prepare one set of worksheets, a notepad and a pen per participant, plus spare copies. Print name badges before registration so the reception table does not become a bottleneck.
- Check the equipment in the room at least 60 minutes before the start. Connect the projector, screen, HDMI cable, adapter, extension cords, power strips and wireless microphone, then run a complete presentation test.
- Confirm catering quantities after registrations close and chill drinks before participants arrive. Set out cups, glasses, plates and cutlery, and keep waste bins visible near the catering area.

- How far in advance should I plan presentation training?
- Book the room and fix the training date at least 3 to 4 weeks ahead. Send invitations early enough to leave 7 to 10 days for registrations and dietary requirements.
- When should I collect participants' presentation files?
- Request the files at least 3 business days before the training. Test them on the actual laptop and projector no later than the day before, and keep a backup copy on a power bank or external drive.
- How many worksheets and name badges do I need?
- Prepare one worksheet set, notepad, pen and name badge per registered participant. Add at least 10% spare copies; for 20 participants, prepare 22 sets and badges.
- How early should I set up the training room?
- Arrive at least 60 minutes before the first participant. Use the time to ventilate the room, arrange tables and chairs, connect and test the presentation equipment, prepare coffee and tea, and set up registration.
