Poetry workshop checklist: what to arrange and when

A poetry workshop needs more than a teacher and a stack of notebooks. You need a clear registration process, a room that supports writing, working equipment, and refreshments timed around the programme. This checklist takes you from invitations and dietary information to the final room check and participant welcome. Use it to spot the details that are easy to leave until the last minute, especially worksheets, name badges, keys, cables, and enough writing space for every participant.

Tips

  • Set a registration deadline at least 7 days before the workshop so you can confirm attendance, collect dietary requirements, print worksheets, and prepare name badges without rushing.
  • Confirm the teacher, programme, venue access, and room key 2–3 days before the event. Ask specifically when you can enter and whether the tables and chairs will already be available.
  • Give each participant a proper workstation: a chair, writing surface, notebook, pens or pencils, and access to the shared materials such as markers and magazines.
  • Test the laptop, projector, screen, speaker, microphone, extension cords, and power strips before participants arrive. Leave at least 30 minutes for setup and keep spare cables where the teacher can reach them.
  • Set out coffee, tea, cold drinks, snacks, and lunch before the reception starts. Put plates, bowls, mugs, glasses, cutlery, serving trays, and utensils in the same area so breaks do not interrupt the writing exercise.

Frequently asked questions

How far in advance should I invite people to a poetry workshop?
Send invitations 3–4 weeks before the workshop and set the registration deadline about 7 days before it. That gives you time to confirm participants, collect dietary requirements, prepare worksheets, and arrange catering.
What should I prepare for each poetry workshop participant?
Prepare one workstation per participant, including a notebook, at least two writing implements, and the worksheets. Add name badges before the room opens, and provide shared materials such as markers and magazines where everyone can reach them.
How early should I arrive to set up a poetry workshop?
Arrive at least 60 minutes before participants are due. Use the first 30 minutes for tables, chairs, workstations, and the reception table, then test the technical equipment and set out drinks and food.
When should I confirm the poetry workshop venue and key?
Confirm the venue, room access, and key 2–3 days beforehand, then check them again on the day of the workshop. Without confirmed access, even a completed setup plan can fail before participants arrive.
