  • Confirm the market grounds and power outlets before inviting vendors. Count the outlets you can use and plan extension cords and power strips for coffee machines, card machines and lighting.
  • Send the vendor briefing at least 7 days before the market, then confirm each vendor by phone 2 to 3 days beforehand. Include arrival times, assigned tables, unloading instructions and the pricing policy.
  • Prepare the layout before furniture arrives. Mark positions for plant tables, market tables, tents, coffee service, registration and the route signs so setup does not turn into guesswork.
  • Count and sort plant stock no later than the day before selling. Add plant labels, price sign holders and vendor signs while the stock is being arranged, rather than waiting until visitors arrive.
  • Order cash and test every card machine at least 24 hours before opening. Keep a separate cash register for change, and prepare coffee cups, glasses, plates and cutlery before the first vendor check-in.
