Tips

  • Set the programme before printing booklets or confirming the running order. Keep the final repertoire, performer names and timings in one version so late changes do not leave visitors with incorrect information.
  • Confirm artists, escorts and volunteers at least 7 days before the concert. Assign separate people to the entrance and cloakroom, catering, stage support and audience seating rather than leaving all four jobs to one person.
  • Plan the room around the performance first: place chairs with clear sightlines, then position bistro or buffet tables. Keep exits and access routes unobstructed, and check that lighting stands, cables and extension cords cannot become trip hazards.
  • Test the complete sound setup before guests arrive, including microphones, stands, speakers, mixer, DI boxes and power strips. A short rehearsal with the actual performers is more useful than testing each item separately.
