Networking walk checklist: what to arrange and when
A networking walk combines a route, scheduled stops and structured introductions, so small omissions can disrupt the whole day. Start by defining who the walk is for, then fix the route, meeting point and stops before opening registration. Once participants sign up, collect dietary requirements, group people and prepare badges and discussion cards. Use the final week for catering, weather checks, transport details and on-site setup.

Tips
- Set the route and confirm every stop before sending invitations. Allow time for registration, walking between locations and at least 10–15 minutes at each stop.
- Open registration only after the start location, route and program are confirmed. Close registrations early enough to group participants and prepare name badges and discussion cards.
- Send transportation information at least 3 days before the walk, including the meeting point, start time, route details and what happens if the forecast changes.
- Check dietary requirements when participants register and place the catering order after registration closes. Plan drinks for the reception as well as water for the route, and chill them before guests arrive.
- Complete the physical setup at least 60 minutes before the start. Put out the reception table, signs, badges and discussion materials, then check tables, chairs, power and the route map.
Frequently asked questions
- How far in advance should I organise a networking walk?
- Start planning 4–6 weeks ahead. Confirm the route, start location and stops first, then allow at least 2 weeks for invitations and registration.
- How long should a networking walk last?
- Allow 2–3 hours for the walk itself, including introductions and stops. Add at least 30 minutes before the start for registration and setup.
- When should I send the reminder for a networking walk?
- Send the participant reminder 2–3 days before the event. Include the start time, meeting point, transport information, route expectations and any weather-related instructions.
- When should I prepare name badges and discussion cards?
- Prepare them after registration closes and participant groups are final, usually 3–5 days before the walk. Keep a few blank badges available for late changes or walk-in participants.
