- Set the exhibitor target before contacting businesses, then allow enough space for each market table, visitor routes and shared areas. Finalise the floor plan only after the exhibitor list is stable.
- Send the exhibitor information in one clear update with arrival instructions, stand dimensions, power arrangements, programme details and the deadline for dietary requirements. A final reminder should go out before registrations close.
