What you need for negotiation training

A negotiation training session needs more than a laptop and a few printed cases. Participants need workbooks, pens, name badges and clear materials for practice, while the room needs reliable presentation equipment, writing surfaces and enough tableware for breaks. Plan quantities from the participant list, then add a small buffer for late arrivals and damaged materials. This checklist helps you buy or gather everything before the training day, including items that are often forgotten until setup starts.

Tips

  • Prepare one workbook, one pen set, one name badge and one set of action plan cards per participant, plus 10% extra. Print the practice cases and worksheets before the final attendance check.
  • Check the laptop, projector, projection screen, HDMI cable and presentation clicker at least one day before training. Pack extension cords and power strips as well; they are easy to overlook when the room layout changes.
  • Provide one flip chart with enough flipchart pads and a whiteboard with several whiteboard markers for group exercises. Test the markers before the session because dry pens can slow down practical work.
  • For the coffee station, count coffee cups, water glasses, plates and cutlery sets for every participant and trainer, then add at least 10% spare. Chill drinks and set out snacks before participants arrive rather than during the first exercise.
  • Set aside a reception desk, name badges and certificates before setup begins. Keep the certificates together and verify the participant list first, so you do not print or hand out the wrong names.

Frequently asked questions

What do I need to buy for negotiation training?
Plan participant materials such as workbooks, practice cases, action plan cards, name badges, pen sets, sticky notes and A4 paper. You also need presentation and room equipment, plus coffee cups, water glasses, plates, cutlery, drinks and snacks.
How many negotiation training materials do I need per person?
Prepare one workbook, pen set, name badge and action plan card set per participant. Add 10% extra, so a group of 20 requires 22 sets for replacements and unexpected attendees.
How much tableware should I provide for a training day?
Count one coffee cup, water glass, plate and cutlery set per participant and trainer, then add at least 10% spare. For 20 participants and 2 trainers, prepare at least 25 of each item.
When should I prepare the equipment for negotiation training?
Test the laptop, projector, screen, HDMI cable, microphone, speaker and clicker at least one day before the session. Pack extension cords and power strips at the same time, and repeat a quick room check before participants arrive.
