National congress checklist: what to arrange and when
A national congress needs a clear sequence: secure the date and venue first, then build the program, confirm speakers, open registration, and prepare the onsite operation. This checklist covers the details that are often left too late, including dietary and transport information, presentation checks, badges, signs, catering numbers, and technical backups. Use the plan to coordinate the 79 preparation tasks and 82 items needed for a smooth conference day.

Tips
- Set the venue, date, program structure, and session times before inviting speakers. Keep at least 30 minutes between major program blocks if rooms need to be reset or attendees need to move.
- Ask speakers for their session details and presentations at least 14 days before the congress. Test every file on the presentation laptop, including videos, fonts, aspect ratios, HDMI connections, and USB-C adapters.
- Close or review registration numbers 7 to 10 days before the event so you can share final catering quantities. By that point, you should also have dietary requirements, transport information, and the attendee list ready.
- Prepare badges, speaker name badges, route signs, and hall signs at least 3 days in advance. Print a small spare batch of attendee badges and keep blank badges available for late changes.
- Plan a technical check before doors open, with microphones, projectors, screens, clickers, mixing consoles, power strips, and extension cords tested in every room. Keep walkie-talkies charged and assign one person to handle technical issues during the program.
Frequently asked questions
- How far in advance should I organize a national congress?
- Start planning at least 6 months ahead for a congress with multiple speakers, rooms, and catering. Set the date and venue first, then confirm the program and speakers before opening registration.
- When should I send national congress invitations?
- Send a save-the-date message once the date and venue are fixed, ideally 12 to 16 weeks before the event. Send the full invitation when the program and registration form are ready, usually 8 to 12 weeks in advance.
- When should I collect dietary requirements for a congress?
- Ask for dietary requirements during registration and review them 7 to 10 days before the congress. Send the final numbers and special meal details to the caterer at least 5 working days before the event.
- How early should speakers submit their presentations?
- Request presentations at least 14 days before the congress and complete the technical check within the following week. Keep a final submission deadline 3 to 5 days before the event for urgent corrections.
