What you need for a municipal festival
A municipal festival needs more than food and drinks. You also need enough reusable tableware, serving equipment, seating, shade, sound equipment and safe power connections for a public crowd. Use the guest registration count as your starting point, then add a small buffer for unplanned visitors and replacements. This list helps you buy or bring the items that are most often forgotten until setup day.

Tips
- Plan reusable plates, bowls, cups and cutlery for every registered guest, plus 10% extra for replacements and visitors. Count coffee cups and water glasses separately because they are usually used at different service points.
- For drinks, allow two to three servings per person during the first hour, then one serving per person for each additional hour. Bring coolers for cold drinks and thermos flasks or coffee machines for hot drinks so queues do not depend on one serving point.
- Match seating to the programme rather than buying one chair per guest. Provide chairs for seated activities, foldable tables for food and registration, and high tables where people will mainly stand and talk.
- Check every powered item before delivery day: portable speakers, microphones, the mixer, coffee machines and kettles need suitable outlets. Take extension cords, power strips and cable reels, and keep cables away from walking routes.
- Pack crowd control barriers, coat racks, tablecloths and serving platters before the food is collected. These practical items are easy to overlook because they are not part of the programme, but replacing them on the festival day is difficult.
Frequently asked questions
- How many cups and plates do I need for a municipal festival?
- Start with one plate, bowl, cup and cutlery set per registered guest, then add 10% extra. For 200 guests, that means at least 220 of each frequently used item, with separate counts for coffee cups and water glasses.
- How many drinks should I buy for a municipal festival?
- Allow two to three drinks per person for the first hour and one drink per person for every additional hour. For 200 guests over three hours, plan roughly 800 to 1,000 servings, then adjust for children, weather and the type of programme.
- When should I order festival food and drinks?
- Place the grocery order at least 3 to 5 days before the festival, and confirm the delivery time no later than the day before. Collect perishable groceries as close to the start as practical and chill drinks before guests arrive.
- What power equipment do I need for a municipal festival?
- Count every powered device and check the available outlets before buying or hiring equipment. Bring at least one extension cord and power strip per separate service area, plus cable reels where the distance to an outlet exceeds 10 metres.
