  • Set the date, program and venue before inviting exhibitors. Allow at least 8–12 weeks for permits, room bookings and supplier confirmations, especially if you need market stalls, tents or several rooms.
  • Create the booth layout as soon as registrations start. Mark each stall, table, power requirement and access route, then keep a few spare tables available for late changes or unexpected needs.
  • Recruit volunteers with fixed shifts rather than one open request. For a full-day bazaar, plan at least three handover moments so someone is always available for registration, exhibitor questions, cash handling and room checks.
  • Separate your cash and change plan from card payments. Reserve the payment terminal early, prepare small notes and coins, and assign two people to count the opening and closing cash.
  • Confirm catering, drinks and serving equipment no later than 7 days before the bazaar. Check coffee machines, kettles, thermos flasks, glasses, plates, cutlery, food warmers and waste bins against the expected attendance.
