  • Set the opening hours before inviting exhibitors, then give each exhibitor a clear deadline for registration and table requirements. This leaves time to finalize the floor plan instead of changing it during setup.
  • Ask exhibitors about display cases, model podiums, demo lighting and power needs on the registration form. Count extension cords and power strips from those answers, rather than assuming every table can share one outlet.
  • Keep the registration desk separate from the busiest display areas. Prepare name badges, an exhibitor list and printed maps in advance so visitors are not waiting while someone searches for information.
  • Test the payment terminal and exchange cash before the fair opens. Have a cash box and a backup charging option ready, especially if the registration desk will process payments for several hours.
  • Do a venue check before bringing in the layouts: confirm table positions, emergency lighting, cable routes and queue space. Number the exhibitor tables only after the final layout is in place, then send the numbers to exhibitors.
