Mentor training shopping list

A mentor training day needs more than handouts and a projector. You need a registration point, enough writing materials for every participant, reliable presentation equipment and refreshments that can be served without delays. This list helps you check what to buy, borrow or bring before the room is opened. Confirm the final participant count first, then use it to calculate folders, worksheets, name badges, drinks and catering. Test the laptop, projector, cables and sound equipment at least one working day before the training.

Tips

  • Prepare one training folder, worksheet set, notepad, pen and name badge per participant, plus 5–10% extra for late registrations or damaged materials.
  • Plan two to three drinks per person for the first hour, then about one drink per person per training hour. Keep water available throughout the day and chill drinks before participants arrive.
  • Set up one registration desk with the final participant list, name badges and pens. Put the desk at the entrance and have it ready at least 30 minutes before registration opens.
  • Bring at least one spare HDMI cable, extension cord and power strip. Test the laptop, projector, projection screen, speaker and microphone together in the training room the day before.
  • Allow 10–15 minutes before arrival to start the coffee station and place cups, glasses, plates, cutlery, serving spoons and water jugs. Check dietary requirements before ordering catering, not after delivery.
