Men’s Meeting shopping list
Use this list to prepare the food, drinks, tableware and equipment for a Men’s Meeting without last-minute shopping. Plan quantities around your confirmed registration count, then add a small buffer for drinks and disposable supplies. Coffee service, a meal, chilled drinks and a presentation setup all need separate preparation. Check dietary requirements before buying groceries, and test the laptop, projector, speaker and microphone before participants arrive.

Tips
- Plan food and drinks from the confirmed registration list, then buy about 10% extra for bread, snacks and non-alcoholic drinks. Keep dietary requirements separate so the meal can be served without guesswork.
- Allow two to three drinks per person during the first hour, then about one drink per person per hour. Chill the first round before guests arrive and keep a cooler available for refills.
- Count one dinner plate, dessert plate, bowl, glass, coffee cup, knife, fork and spoon per participant, plus at least 10% extra. Serving spoons and platters are easy to overlook when the buffet is set up.
- Prepare coffee and tea for the arrival and break periods: plan roughly one cup per person on arrival and another during the break. Fill thermos flasks before opening the venue so service does not stop during the program.
- Test the laptop, projector, projection screen, portable speaker and microphone at least 30 minutes before opening. Bring extension cords and place waste bins near the reception and dining areas, not only in the kitchen.
Frequently asked questions
- How much food do I need for a Men’s Meeting?
- Use the confirmed participant count as your base and buy about 10% extra for the main meal, bread and snacks. Check dietary requirements at least 3 days before shopping so alternatives can be included in the order.
- How many drinks should I buy for a Men’s Meeting?
- Plan two to three drinks per person for the first hour, followed by about one drink per person per hour. Chill the first round several hours ahead and keep additional drinks in coolers for refilling.
- How many plates and glasses do I need?
- Provide one dinner plate, dessert plate, bowl and glass per participant, plus 10% spare. For 30 participants, that means 33 of each item before allowing for replacements or separate serving needs.
- When should I prepare the coffee and presentation equipment?
- Set up coffee machines, kettles and thermos flasks before participants arrive, and test the laptop, projector, speaker and microphone at least 30 minutes before opening. Keep extension cords ready rather than searching for them during the presentation.
