Masked ball shopping list

A masked ball needs more than masks and formal outfits. You will need enough tableware for the meal, separate glasses for water, wine, and champagne, plus equipment for serving, chilling, heating, and making coffee. Plan the room setup at the same time: tables, chairs, coat racks, lighting, speakers, microphones, and safe cable access all affect what you need to buy or borrow. Use the guest count as your starting point and add a small reserve for breakages, spills, and late additions.

Tips

  • Count masks against the final guest list, then add 5–10% extra so a damaged mask or last-minute guest does not leave someone without one.
  • For tableware, allow one dinner plate, dessert plate, fork, and knife per guest, then add at least 10% spare. Plan separate quantities for water, wine, champagne, and coffee glasses or cups.
  • Chill drinks before guests arrive and keep backup stock in coolers. Prepare at least two ice cube trays per 10 guests if drinks will be served throughout the evening.
  • Check the venue’s power layout before bringing speakers, a mixer, LED spotlights, string lights, coffee machines, or kettles. Pack extension cords and power strips that reach the equipment without crossing guest walkways.
  • Do not leave serving equipment until the delivery day: confirm food warmers, serving spoons, buffet tables, table skirts, and allergen cards at least 48 hours before the ball.

Frequently asked questions

How many masks do I need for a masked ball?
Buy one mask per invited guest, based on the final guest list, plus 5–10% spares. For 50 guests, that means 53–55 masks.
How much tableware should I buy for a masked ball?
Plan one dinner plate, dessert plate, fork, and knife per guest, with 10% extra for breakage or replacements. For 50 guests, prepare at least 55 of each basic item.
How many glasses do I need per guest?
Allow one water glass and one wine glass per guest, plus champagne glasses if champagne is served. Add 10% spare, so 55 glasses of each type for 50 guests is a practical minimum.
When should I chill drinks and prepare the equipment?
Chill drinks several hours before guests arrive, preferably the same morning or the evening before. Confirm deliveries, power access, sound equipment, lighting, and serving gear at least 48 hours in advance.
