Management meeting checklist
A management meeting needs more than a room and an agenda. You need to coordinate attendees, dietary requirements, presentations, meeting papers, equipment, seating, refreshments and dinner without leaving key details until the last minute. This checklist puts the work in a practical order, from building the participant list and sending invitations to testing the projector and setting out coffee. Use it to check what is ready before guests arrive and what still needs attention on the meeting day.

Tips
- Set the participant list and send invitations early enough to collect registrations and dietary requirements before choosing the final meal and menu. A complete response list prevents missing name badges, meals or meeting papers.
- Finish the agenda before collecting presentations and meeting documents. Allow at least one working day to combine files, print copies and confirm that every presentation opens on the meeting laptop.
- Test the projector, HDMI cable, presentation remote, extension cord and power strip in the actual meeting room before the meeting starts. A short test also shows whether the laptop can reach the projector and whether cables need to cross walkways.
- Plan the room layout around the meeting table, chairs, side tables and projector sightlines. Leave space for a coat rack, coffee service and waste bins so people do not have to move around during the discussion.
- Prepare drinks and food in separate stages on the day. Chill drinks in advance, set out coffee and tea shortly before arrival, and keep dinner preparation and serving equipment ready so the meal does not interrupt the meeting.
Frequently asked questions
- How far in advance should I plan a management meeting?
- Start the participant list, room reservation and invitations at least 2 to 3 weeks ahead. This gives attendees time to register and report dietary requirements, while leaving time to finalise the agenda, meal and presentations.
- When should I send the management meeting agenda?
- Send the confirmed agenda and practical information at least 3 working days before the meeting. Ask for presentations and meeting papers by a fixed deadline, ideally 1 working day before printing and preparing the room.
- How much food and drink do I need for a management meeting?
- For the first hour, plan around 2 to 3 drinks per person, including water, coffee and tea. For a full-day meeting, provide a snack break and one complete meal per attendee, adjusted for the final registration list and dietary requirements.
- When should I test the meeting equipment?
- Test the laptop, projector, screen, HDMI connection and presentation remote at least 1 day before the meeting. Repeat a quick check when you open the room, because cables, power connections or the room layout may have changed.
