  • Book the artists and venue before announcing the evening, then confirm the music program and technical requirements no later than one week before the event.
  • Ask for dietary requirements when guests register and finalize the visitor list at least 48 hours before catering quantities are confirmed.
  • Allow at least 2–3 hours for room setup: arrange tables and chairs, clear the stage area, position the PA speakers and run cables through cable trays.
