What to buy for a Liberation parade

A Liberation parade needs more than flags and banners. You will need supplies for participants, refreshments, route marking, crowd control and communication along the route. Plan reusable cups, plates and cutlery for the catering point, plus coolers, tables and waste bins where people gather. Route signs, arrows, barriers, megaphones and walkie-talkies are easy to overlook, so check them before shopping and allow time to collect reserved materials.

Tips

  • Plan two to three drinks per person for the first hour, then add one drink per person for each additional hour. Keep water separate from other drinks and chill it before participants arrive.
  • Count reusable cups, plates and cutlery against the registration list, then add at least 10% extra. Coffee cups, serving spoons, platters and pitchers are often forgotten when the main catering supplies are counted.
  • Prepare one visible route sign for every decision point, plus spare markers and directional arrows. Pack the signs together with the printed route map so they can be checked before the parade starts.
  • Allow one waste bin at each food or drink point and place extra liners with the bins. If tables are set outdoors, bring tablecloths, parasol bases and party tents rather than relying on the weather.
  • Give each traffic controller a way to communicate and see after dark: schedule a walkie-talkie where needed and keep flashlights and a megaphone at the coordination point. Test batteries and extension cords before loading the equipment.

Frequently asked questions

How many drinks do I need for a Liberation parade?
Plan two to three drinks per person for the first hour and one additional drink per person for every following hour. Add extra water if the route is long or the weather is warm.
How many cups, plates and cutlery sets should I buy?
Start with one set per registered participant and add at least 10% spare supplies. Include separate coffee cups if coffee is served, because reusable drinking cups are not always suitable for hot drinks.
When should I buy supplies for a Liberation parade?
Buy non-perishable items, route signs and decorations at least one week before the parade. Purchase or collect chilled and perishable catering items within 24 hours of the start, after checking the final participant count.
What equipment is easy to forget for a parade route?
Check walkie-talkies, megaphones, flashlights, extension cords, power strips and spare batteries before loading the van. Pack these items at least one day in advance so missing equipment can still be borrowed or reserved.
