  • Set the date, venue and program before sending invitations. Confirm the host and speakers early, then allow time to collect speaker information and presentation requirements.
  • Open registration as soon as invitations go out and review registrations regularly. Record dietary requirements alongside the participant list so catering numbers can be confirmed before the event.
  • Request speaker presentations before the congress, not on the morning itself. Check every slide deck on the event laptop and keep a backup copy on at least one USB stick.
  • Test the complete AV chain at the venue, including the projector, screen, HDMI cables, adapters, microphones, speakers, mixer and clicker. Keep extension cords, power strips and gaffer tape available for setup problems.
