Tips

  • Count one dinner plate, bowl, knife, fork and spoon per participant, then add at least 10% extra for breakages, dropped items and late arrivals. Do the same for drink glasses and coffee cups.
  • Provide one chair per participant plus seats for organisers and crew. Add tables for registration, food service and character materials; bar stools and clothes racks are useful only where your layout and costume setup require them.
  • Keep cold food in coolers and serve hot food with food warmers. Prepare enough serving platters, soup bowls, pitchers and serving spoons before the meal starts so players are not borrowing kitchen equipment during the game.
  • Check every powered item together before the event: kettles, coffee machines, speakers, microphone and laptop. Match extension cords and power strips to the venue’s sockets, and test the setup before participants arrive.
