Lantern Parade Checklist

A lantern parade needs more than lanterns and a meeting point. You need a confirmed route, permission to use public space, marshals at the right places and clear information for participants. Start by fixing the date and route, then secure locations, equipment and volunteers before inviting people. In the final week, test every light, check batteries and walk the route again. Use this checklist to keep the planning in order and avoid last-minute gaps.

Tips

  • Set the date and route first, then apply for the permit as early as possible. Allow at least 4–6 weeks for approval, and do not publish the final route until it is confirmed.
  • Walk the full route before the event and again in the final week. Mark crossings, narrow sections and places where volunteers or crowd-control barriers will be needed.
  • Assign volunteers by position, not just by total number. Prepare a contact list, brief everyone before the parade and give key teams tested walkie-talkies or a megaphone.
  • Check every lantern and LED light at least 2–3 days beforehand. Keep spare AA batteries and power banks available so one failed light does not stop the parade.
  • Plan the start and finish areas separately from the moving route. Set up tables, chairs, signs, refreshments and sound equipment early enough to test the microphone and power connections before participants arrive.

Frequently asked questions

How far in advance should I plan a lantern parade?
Start planning at least 6–8 weeks before the parade. Apply for the permit, reserve the start and finish locations, arrange marshals and order lanterns and LED lights during the first two weeks.
Do I need a permit for a lantern parade?
Often, yes, especially when the parade uses public roads, paths or shared spaces. Contact the relevant local authority at least 4–6 weeks before the event and confirm whether traffic management or additional permissions are required.
How many volunteers do I need for a lantern parade?
The number depends on the route and attendance, but plan one marshal for each crossing or risk point, plus a lead organiser, a finish-area team and at least two people who can respond to problems. Finalise volunteer assignments no later than 7 days before the event.
When should I check the weather for a lantern parade?
Check the forecast 7 days before the event, then again 48 hours and 3 hours beforehand. Use the final checks to confirm clothing advice, shelter, route conditions and whether the start or finish setup needs changing.
