Karaoke Night Checklist: What to Arrange and When

A karaoke night needs more than a song queue and a microphone. This checklist takes you from invitations and dietary requirements to the final equipment test, with 51 tasks and 41 useful items behind the plan. Confirm the venue and karaoke system early, then leave enough time on the day to connect speakers, test microphones and prepare food and drinks. The setup order matters: sound, seating and refreshments should be ready before guests arrive.

Tips

  • Confirm the karaoke system and venue several days before the event, including music rights and the available power outlets. Check that the screen, player, speakers, microphones and cables are compatible before collection or delivery.
  • Close the guest list before shopping. Use the responses to plan dietary needs, mark allergens on snacks and decide how many cups, plates and cutlery sets are needed for the expected attendance.
  • Allow at least 60–90 minutes for room setup. Arrange tables and chairs first, then connect the screen, speakers, microphones and lighting so cables can be kept out of walking routes.
  • Test every microphone and at least three different songs before guests arrive. Keep spare batteries, extension cords and power strips nearby; a missing cable or flat battery can stop the entire evening.
  • Prepare the first part of the programme before the doors open. Print the singing order, cool drinks, portion snacks and place water where singers can reach it without interrupting the queue.

Frequently asked questions

How far in advance should I plan a karaoke night?
Start 2–3 weeks ahead for invitations, attendance and dietary information. Confirm the venue, karaoke system and music rights at least 7 days before the night.
How long does it take to set up a karaoke night?
Allow 60–90 minutes for tables, chairs, food, drinks, screen, speakers, microphones and lighting. Reserve an extra 15 minutes for testing songs and fixing cable or connection problems.
How many songs do I need for a karaoke night?
Plan around 2–3 songs per guest for a three-hour evening, depending on group size and song length. Prepare a balanced starting list so the first singers are not waiting while the queue is built.
When should I test the karaoke equipment?
Do a full test on the event day, no later than 30 minutes before guests arrive. Test the screen, player, speakers, both microphones, cables and several songs, then keep the spare batteries and adapters within reach.
