  • Collect dietary requirements when processing registrations, not during the final catering order. Set a deadline at least 7 days before the festival so the caterer can plan portions and alternatives.
  • Confirm each artist’s input list and arrival details at least 14 days ahead. This gives you time to check microphones, stands, D-I boxes, instrument cables, monitor speakers and power requirements.
  • Test the complete audio and payment setup before guests arrive. Allow 60–90 minutes for the mixer, stage speakers, microphones, lighting, cash register and payment methods, rather than checking them one item at a time.
  • Set out the room in a fixed order: stage sections first, then tables and chairs, followed by bar stools, glasses and serving equipment. Reserve at least 2 hours for setup if furniture and stage equipment arrive separately.
