  • Start with the participant list and registration process before booking rooms or dividing activity groups. Keep contact details, dietary requirements and emergency contacts together so you do not have to chase missing information later.
  • Book accommodation, activities, dinner and transport as soon as the dates are fixed. Room assignments and group divisions should follow only after registrations have closed or you have set a clear cut-off date.
  • Build the programme around realistic travel time, not just activity duration. Check every route and address, then send the final participant information once timings and meeting points are confirmed.
  • Prepare badges, wristbands, travel documents and participant packs at least one day before departure. Print a final attendance list and keep spare pens, power banks and charging equipment at the starting point.
  • Do the shopping and chill drinks before the group arrives. Count reusable glasses, plates, cutlery, coffee cups, coolers and thermos flasks for the expected group, and place waste bins where food and drinks are served.
