  • Build the program before ordering catering. Use the finished schedule to decide when coffee, lunch and breaks are needed, and confirm the final headcount before placing the order.
  • Close registrations several days before the study day and update the participant list immediately afterward. This gives you time to print name badges, prepare handouts and pass dietary requirements to the caterer.
  • Test the laptop, projector, screen, HDMI cable, adapter, microphone and speaker together at the venue, preferably the day before. A cable that works at home may still fail with the venue’s equipment.
  • Set up the registration table at least 45 minutes before arrivals begin. Put name badges, badge holders and pens in a clear order, and keep the participant list available for late changes.
  • Prepare the room in the same order participants will use it: tables and chairs first, presentation equipment second, then coffee, tea and lunch. Keep extension cords and power strips out of walking routes to prevent delays and trips.
