  • Set the date, venue, and artist lineup before promoting the concert. Aim to have the program and performance confirmations in place at least 6–8 weeks before show day, so ticket information does not change after invitations and posters go out.
  • Ask every artist for a stage plot, input list, arrival time, and contact number when you collect their information. Use these details to reserve the mixer, monitors, microphones, DI boxes, cables, speakers, and other technical equipment rather than guessing.
  • Treat the run of show as a production document, not just a timetable. Include load-in, soundcheck, doors, performances, changeovers, breaks, closing, and the artist route; print copies for the stage, admission desk, and volunteer coordinator.
  • Plan audience and admission rules before registrations open. State the start time, entry process, age or access conditions if applicable, and how dietary requirements should be submitted; otherwise volunteers will have to answer the same questions at the door.
