How to organize a guest lecture from start to finish

A guest lecture runs smoothly when the speaker, room, registration and technical setup are handled in the right order. Confirm the speaker first, then reserve a suitable room and open registration once the program is clear. In the final week, collect dietary requirements, receive the presentation and check every connection you will use. On the day, allow time to welcome the speaker, prepare the reception desk and test the sound and projection before guests arrive.

Tips

  • Confirm the guest speaker and room before sending invitations. Keep the registration form open long enough to process registrations and collect dietary requirements before ordering catering.
  • Request the presentation several days before the lecture, not when the speaker arrives. Check whether the presentation laptop, projector, screen, HDMI cable and any adapters work together.
  • Schedule the room setup before the first guest arrives. Arrange chairs and tables, prepare the reception desk, hang directional signs and place name badges and program leaflets where they are easy to reach.
  • Test sound and projection with the actual equipment on the day. Connect the speakers, wireless microphone, power strips and extension cords, then run through at least one presentation slide from the presentation laptop.
  • Plan catering from the registration numbers rather than rough estimates. Prepare coffee machines, kettles and thermos flasks in advance, chill drinks before guests arrive, and keep serving platters, trays and tongs ready.

Frequently asked questions

How far in advance should I invite people to a guest lecture?
Send invitations once the speaker, room and program are confirmed, preferably at least 2 to 3 weeks before the lecture. Keep registration open until you have enough time to process responses and order catering.
When should I ask for dietary requirements for a guest lecture?
Ask for dietary requirements directly in the registration form. Review the responses at least 5 working days before the event so catering can be ordered with accurate information.
How early should I arrive to set up a guest lecture?
Allow at least 90 minutes for setup, and more if the room or AV equipment is unfamiliar. Use that time to arrange chairs and tables, prepare registration, connect the projector and test the microphone and sound system.
When should I collect the guest speaker’s presentation?
Request the presentation at least 2 working days before the lecture. This gives you time to test the file, check the display format and solve missing cables, adapters or compatibility problems before the event.
