  • Set the registration deadline at least 7 days before the workshop. Use the final participant list to confirm dietary requirements, print name badges, and prepare the right number of worksheets and workstations.
  • Build the program around timed exercises, including short breaks and a clear closing activity. For a half-day workshop, plan roughly 2 to 3 main exercises rather than filling every minute with presentation slides.
  • Check the room layout before the event, not only the equipment. Allow enough space for work tables, chairs, presentation viewing, and movement between workstations; set up the reception and buffet tables separately.
  • Test the laptop, projector, screen, HDMI cable, adapter, speaker, microphone, extension cord, and power strip at least 60 minutes before participants arrive. Bring the presentation in a second format or on a second device if possible.
  • Pack workshop materials by activity instead of putting everything in one box. Prepare worksheets, handouts, flip-chart pads, markers, and sticky notes in labeled bundles, and keep a small reserve of each item for late additions or replacements.
