  • Create the floor plan before confirming booth details. Mark counters, tables, display walls, brochure racks, visitor routes and restricted areas so exhibitors know exactly what space they have.
  • Open registration as soon as the visitor invitation is ready, then process registrations continuously. Collect dietary requirements at the same time, rather than trying to reconstruct them a few days before catering is served.
  • Set firm deadlines for exhibitor information, presentations and badge details. Print name badges only after the access list has been checked, and keep a small supply of blank badges for corrections on the day.
  • Treat every demonstration as a safety checkpoint, not just a program item. Check the equipment in advance, prepare written safety instructions, and use bollards or barrier tape where visitors must not enter.
  • Run a complete technical test before the fair opens. Check laptops, screens, the projector, projection screen, speakers, wireless microphones, HDMI cables and extension cords, then keep spare AA and AAA batteries available.
