  • Set the format and scoring rules before sending invitations. Publish the number of rounds, attempt limits, tie-break method and registration closing date so participants know what to expect.
  • Close registration early enough to create the match schedule and print participant lists, bib numbers and jury forms. Allow at least 3–5 days between the registration deadline and competition day.
  • Check every route before participants arrive, then mark climbing routes and hang the route maps where competitors and judges can read them easily. Keep route signs and barrier tape available for last-minute changes.
  • Assign judges by route or competition area, not just by shift. Give each judge the correct jury forms and a stopwatch, and brief them on scoring before the first climb.
  • Plan venue setup as a separate stage. Open at least 2 hours before the first start to arrange mats, ropes, harnesses, helmets, tables and the registration desk, then complete the safety check before check-in begins.
