How to organise an autumn market

Start by fixing the date and location, then work backwards from the market day. You will need time for the permit, stallholder registrations, the booth layout and supplier bookings before you buy supplies. Autumn weather makes the site plan especially important: decide where tents, tables, power and signs will go, and tell everyone what happens if rain or wind changes the setup. Use the final week for confirmations and the last 24 hours for shopping, packing and checking equipment.

Tips

  • Apply for the market permit before inviting stallholders, because the approved location and operating conditions may affect how many booths you can accept. Allow at least 4–6 weeks for this step.
  • Set a registration deadline about 3 weeks before the market. Use the final list to confirm stallholders, collect dietary requirements and assign booth numbers instead of changing the layout on the morning.
  • Draw the booth layout before reserving equipment. Mark every table, chair, market stall, tent, entrance and power outlet, then share the floor plan with stallholders at least 7 days before opening.
  • Prepare for wet or cold weather no later than 3 days beforehand. Check the forecast, communicate the weather plan and make sure party tents have stall weights; light decorations and signs should not be left unsecured.
  • Keep setup in a fixed order on the day: barrier off the market area, build the tents, place tables and chairs, connect power, then add signs, tableware and decorations. Have the cash register, change, name badges and route signs ready before visitors arrive.

Frequently asked questions

How far in advance should I organise an autumn market?
Start at least 8–12 weeks before the market. Use the first 2 weeks for the date, location and permit, then allow several weeks for stallholder registrations, suppliers and the floor plan.
When should I invite stallholders to an autumn market?
Invite them as soon as the date, location and permit requirements are clear, ideally 6–8 weeks ahead. Close registrations around 3 weeks before the event so you can finalise booth numbers and dietary information.
What should I do if it rains on the day of an autumn market?
Set the weather plan at least 3 days before the event and communicate it to stallholders. Check tents, weights, drainage, power protection and indoor or covered alternatives before setup begins.
How long does it take to set up an autumn market?
Allow at least 3–4 hours for a small market with tents, stalls, tables, power and signs. Add more time if equipment must be collected, assembled or carried over a long distance.
