How to organise a wedding dinner without last-minute problems
A wedding dinner needs more than a guest list and a menu. Start by fixing the guest count and dietary requirements, then build the table plan, menus and service setup around that number. Work backwards from dinner time for deliveries, fresh groceries, chilled drinks and desserts. The details most often missed are glassware, table linen, name badges, route information and a clear order for speeches. This plan gives you a practical sequence from the first invitation to serving coffee.

Tips
- Set the RSVP deadline at least 3–4 weeks before the dinner. You need time to process registrations, confirm dietary requirements and determine the final guest count before ordering food, printing menus or arranging tables.
- Build the table layout only after the RSVP list is closed. Allow roughly 60 centimetres of table space per seated guest, and check that serving tables, the bar unit and coat racks do not block guest movement.
- Check tableware against each course, not just the total number of guests. For a three-course dinner, count dinner plates, starter plates and dessert plates separately, then add coffee cups, water glasses, wine glasses and champagne glasses.
- Split shopping into two stages: buy non-perishable items several days ahead, then buy fresh groceries close to the dinner. Chill drinks at least 6 hours before serving, and prepare desserts early enough to leave time for final table and delivery checks.
- Collect speeches and share route information no later than 7 days before the dinner. Put speeches in a running order with one person responsible for announcing them, and send guests the route details before the event day.
Frequently asked questions
- How far in advance should I send wedding dinner invitations?
- Send invitations about 8–12 weeks before the wedding dinner and set the RSVP deadline 3–4 weeks before it. That leaves at least 2 weeks to chase missing replies, confirm dietary requirements and finalise the table layout.
- When should I finalise the wedding dinner guest count?
- Finalise the guest count as soon as the RSVP deadline passes, ideally 2–3 weeks before dinner. Use that number to confirm food quantities, seating, menus, name badges, tableware and deliveries.
- How many glasses do I need per wedding dinner guest?
- For a seated dinner, plan at least one water glass and one wine glass per guest, plus champagne glasses if champagne is served. Add 10% extra glassware, so 55 of each type are available for 50 guests.
- When should drinks be chilled for a wedding dinner?
- Chill drinks at least 6 hours before guests arrive; bottles that need thorough chilling may need overnight refrigeration. Keep a separate supply available for topping up during dinner so the bar or serving table does not run empty.
