- Start with the route and permissions, not the invitations. Map the course first, then allow several weeks for a route permit and traffic-controller requests if roads or crossings are affected.
- Set the sponsorship goal before creating the registration form. Include a clear deadline for sponsor forms and keep a separate process for collecting, sorting and following up on them.
- Assign volunteers to specific jobs at least 7 days before the run. Cover registration, starter groups, water stations, route checks, crowd control and the finish area rather than relying on general helpers.
- Walk or cycle the full route during a route check, including every turn and crossing. Place route arrows and kilometre markers where runners can see them before they reach a decision point.
- Treat the final 48 hours as a confirmation window. Check the weather forecast, confirm deliveries, prepare bib numbers and starter groups, and send participants the meeting time, parking or arrival instructions and what to bring.

- Start planning at least 8 to 12 weeks ahead. That gives you time to reserve the starting location, apply for permits, arrange traffic controllers, open registration and recruit volunteers.
- How many volunteers do I need for a sponsored run?
- Plan one named volunteer for each operational post, plus at least 10% extra cover. For example, a run with 20 active posts should have 22 volunteers so breaks or last-minute absences do not leave a station unattended.
- When should I send sponsored run information to participants?
- Send the first practical information at least 7 days before the event, then a final update 24 to 48 hours beforehand. Include the start time, starter group, route details, registration process and any safety instructions.
- When should I set up the water stations?
- Prepare cups, water jugs and coolers on the day before if storage allows, and position the stations before participants arrive. Finish the route setup at least 60 minutes before the first start so signs and supplies can be checked.
