How to organise a service opening
A service opening works best when the worship service and the reception are planned as one programme. Start by fixing the date, liturgy and key people, then secure both the church hall and reception area before sending invitations. Registrations, dietary requirements, readings, songs and speeches need deadlines of their own. In the final week, test every microphone and projection item, prepare the printed liturgies, check the shopping list and assign someone to welcome guests and manage practical questions.

Tips
- Set the date and liturgy before inviting anyone. Confirm the officiant, guests, musicians and main programme items first, then send invitations with a clear registration deadline.
- Reserve both spaces early and plan the transition between them. Decide where chairs, foldable tables, coat racks, the guest book and welcome sign will go before setup day.
- Collect registrations and dietary requirements together. Give the caterer one final guest count and food summary at least 5 days before the opening, rather than forwarding changes one by one.
- Treat the technical check as a separate appointment. Test the wireless microphones, mixer, speakers, laptop, projector, screen, extension cords and power strips with the people using them, preferably 1–2 days beforehand.
- Prepare the service materials before the final setup. Sort the printed liturgies, set out clothing and other materials, print churchwarden instructions, and leave enough time to clean the hall and arrange chairs before guests arrive.
Frequently asked questions
- How far in advance should I organise a service opening?
- Begin at least 6–8 weeks ahead if the opening includes a church service, reception, catering and musicians. Fix the date and liturgy first, then reserve both spaces before sending invitations.
- When should guests confirm their attendance and dietary requirements?
- Set the RSVP deadline 2–3 weeks before the opening. Send the final guest count and dietary summary to the caterer 5 days before the event so changes do not arrive during setup.
- When should I test the sound and projection equipment?
- Test the microphones, speakers, mixer, laptop and projector 1–2 days before the opening. Repeat a short check on the day itself, including extension cords, power strips and the projection screen.
- How early should we set up the church hall?
- Allow at least 2–3 hours for cleaning the hall, setting out chairs and tables, arranging tableware and decorations, and preparing the welcome area. Add extra time if the same room must be cleared or rearranged between parts of the programme.
