How to organise a release concert from start to finish
A release concert needs more than a stage and a band. Start by fixing the date, venue, budget and entertainment programme, then work backwards from ticket sales and the show itself. Technical requirements, artist information and permits often arrive too late, leaving no time to adjust the room or equipment. This plan takes you from the first confirmations through promotion, guest registration, crew coordination and the final run sheet.

Tips
- Lock the date, venue and entertainment programme before announcing the concert. Allow at least 8 to 12 weeks for ticket sales, promotion, technical preparation and guest communication.
- Collect each artist’s technical requirements and personal details no later than 3 weeks before the show. Confirm microphone, monitor, DI box, input and stage needs against the available PA and lighting equipment.
- Build the run sheet around fixed times: allow at least 60 minutes for load-in and soundcheck, and schedule a 15-minute buffer before doors open. Share the final version with artists, crew, catering and security.
- Do not leave visitor information until the last week. Process registrations as they arrive, collect dietary requirements at least 7 days in advance, and publish parking information before guests travel.
- Check the practical guest flow before opening doors: place coat racks, name badges, tables and reusable glasses where they will not block exits. Test stage power, extension cords, microphones and lighting before the audience enters.
Frequently asked questions
- How long does it take to organise a release concert?
- Allow 8 to 12 weeks for a small or medium release concert. Use the first 1 to 2 weeks to confirm the venue, programme and budget, then leave several weeks for ticket sales, promotion and technical planning.
- When should I book sound and lighting for a release concert?
- Reserve the PA, mixing console, monitors, microphones and stage lighting as soon as the date and venue are confirmed, ideally 8 weeks before the concert. Finalise the technical requirements at least 3 weeks before the event.
- When should tickets and invitations go live?
- Open online ticket sales and send invitations once the date, venue and programme are confirmed, usually 6 to 8 weeks before the concert. Publish parking and access information before the final week.
- How much time should I allow for soundcheck?
- Schedule at least 60 minutes for load-in and soundcheck, with extra time if several artists share the stage. Keep a 15-minute buffer before doors open so last-minute cable, microphone or lighting changes do not affect guests.
