- Scout the full route before publishing it, then check it again close to race day. Record distances, difficult turns, unsafe sections and any points where route signs or arrows could be missed.
- Set the scoring and timing rules before creating rally cards and answer forms. Give each team a participant number and start time, and leave enough spacing between starts to prevent queues at the first station.
- Send the participant form early and close registrations at least 7 days before the rally. Use the final list to confirm dietary requirements, contact details, team numbers and the number of printed cards and answer forms.
- Write separate instructions for participants and volunteers. Station teams need their location, opening time, scoring method and radio contact; participants need the route directions, rules, start procedure and what to do if they get delayed.
- Prepare the start and finish areas the day before where possible. Charge walkie-talkies and mobile chargers, test the speaker or megaphone, lay out clipboards and pens, and keep spare signs, forms and markers in clearly labelled trays.

- Allow at least 6 to 8 weeks for a small rally and longer if permits, insurance or multiple locations are involved. Route scouting, safety checks, registrations and printed materials should be finished no later than 7 days before the event.
- How many volunteers do I need for a rally race?
- Plan for at least 1 volunteer at registration, 1 at the start, 1 at the finish and 1 at each active station. Add a roaming coordinator or backup for every 4 to 5 stations so problems can be handled without closing a checkpoint.
- When should I send the final rally briefing?
- Send it 3 to 5 days before the start, after the route, weather forecast and start times have been checked. Include the meeting time, parking or arrival instructions, rules, what participants must bring and a phone number for urgent issues.
