- Write the rules before registration opens, including the lap or time format, cut-off conditions, rest arrangements and how ties or disputes are decided. Give every runner the same version of the rules with their participant information.
- Inspect the course before race day and mark it only after checking the route again. Directional signs, ribbon, cones and barriers should be ready before runners arrive, with a volunteer assigned to every traffic point that needs monitoring.
- Close registration with enough time to process emergency contacts and dietary requirements, print bib numbers and assign start numbers. Send the final participant information at least 3 days before the run so questions do not reach the team during setup.
- Give volunteers written roles rather than a general request for help. Include who handles registration, timing, course checks, first aid contact, traffic points, refreshments and finish-line records, then hold a briefing before the start.
