Tips

  • Start permits and insurance at least 8–12 weeks before race day. A competition permit, course approval and traffic measures can involve different organisations, so do not treat one approval as covering the others.
  • Inspect the full course 7 days before the race and again on race morning. Mark hazards with course tape or spray, place route arrows at every decision point, and keep spare signs available for weather or tampering.
  • Close registration 5–7 days before the race if possible. Use the final list to assign starter groups, prepare bib numbers and collect dietary requirements instead of trying to sort these at the registration desk.
  • Give volunteers written positions and arrival times at least 3 days ahead. Use walkie-talkies for start, finish, course and medical coordination, with a named backup person for every critical post.
  • Test the timekeeping set, laptops, tablets, phones, microphones and extension cords the day before. Print result forms as a fallback; a timing failure is much harder to fix once the first group has started.
