  • Approach speakers as soon as the programme is stable, then set a firm deadline for presentations, portraits and speaker information. Send the briefing at least 7 days before the conference so changes can still be resolved.
  • Open registration only after the venue details and agenda are reliable. Close it 2–3 days before the event, finalise the list, and use the same data to check name badges and dietary requirements.
