How to organise a clothing fair

A clothing fair works best when vendor logistics are settled before you think about decoration. Confirm the venue and access first, then recruit sellers, process registrations and collect the information visitors and vendors need. In the final week, assign every pitch, prepare pricing and payment arrangements, and print the signs and vendor list. On the day, leave enough time to check toilets, mark walking routes, build fitting rooms and test lighting before sellers arrive.

Tips

  • Set a vendor deadline at least 10 days before the fair. Use the final list to assign pitch locations, draw the stand map and send each seller arrival, payment and table information in one message.
  • Plan the floor around movement, not just available tables. Keep walking routes clear, place fitting rooms where they are easy to find, and allow space for clothes racks, mirrors and queues.
  • Choose the vendor payment method before registrations close. If cash is accepted, arrange cash boxes and change in advance; otherwise test the cash machines and confirm who handles payment problems.
  • Prepare seller kits 1–2 days before opening. Include the materials each pitch needs, then check racks, hangers, price tags, markers and painter’s tape so sellers are not searching for basics during setup.
  • Start venue setup at least 3 hours before doors open. First check access, toilets and power, then place tables and racks, set up fitting rooms and lighting, and prepare coffee, tea and wayfinding signs last.

Frequently asked questions

How far in advance should I organise a clothing fair?
Start at least 6–8 weeks ahead if you need to recruit vendors and promote the event. Close registrations around 10 days before the fair so you still have time to create the stand map, assign pitches and send final instructions.
How many clothing racks do I need for a clothing fair?
Plan one rack for each seller who expects to display hanging clothes, then keep 10–15% extra capacity if space allows. Confirm the final number after registrations, because bulky stock can make a pitch feel crowded quickly.
How early should vendors arrive at a clothing fair?
Give vendors a clear arrival window of at least 90 minutes before visitors enter. Open the venue around 3 hours before doors open so there is time to mark routes, assemble racks, set up changing rooms and resolve access or power issues.
What do I need for changing rooms at a clothing fair?
Allow at least one screened changing area for every 25–30 expected visitors at busy times, if the venue has enough space. Provide mirrors and adequate lighting, and keep the route to the changing rooms clear of tables and clothing bins.
